Introduction

If you're an NDIS provider, allied health professional, or practice administrator, chances are you've heard of PRODA — but how do you actually use it?

This guide walks you through:

  • How to register for PRODA

  • How to verify your identity

  • How to log in securely

  • What to do if something goes wrong

Whether you're setting up for the first time or helping a team member, this article will help you do it right the first time — no confusion, no wasted time.

What is PRODA?

PRODA stands for Provider Digital Access, a secure online identity verification system managed by Services Australia. It allows individuals and organisations to access digital government services such as:

  • The NDIS myplace provider portal

  • HPOS (Health Professional Online Services)

  • The Aged Care Provider Portal

  • Medicare and PIP/QI incentives

Every person who wants to use these services must create their own PRODA account — sharing is not allowed.

Who Needs to Register?

You’ll need to register for PRODA if you:

  • Are registering as a new NDIS provider

  • Want to access the NDIS myplace portal

  • Are a GP, allied health professional, or practice manager using HPOS

  • Need to access any government digital platform requiring verified identity

💡 PRODA is not the same as MyGovID. MyGovID is used for business and tax functions (e.g., ATO); PRODA is for health, disability, and aged care service access.

Step-by-Step: How to Register for a PRODA Account

Registration takes about 10–15 minutes. You'll need:

  • An email address

  • A mobile number

  • At least two Australian identity documents

Let’s get started:

  • Go to: https://proda.servicesaustralia.gov.au
    Click the Register button.

  • Fill in your:

    • Full name (must match your ID documents exactly)

    • Date of birth

    • Preferred email address (use one you’ll always have access to)

    • Mobile number

    Then choose:

    • A username (e.g., firstname.lastname)

    • A secure password

    • Three security questions and answers

    Click Submit to continue.

  • PRODA will send a verification code to your email.
Copy the code and enter it in the required field.

Once verified, you’ll receive a Registration Authority (RA) number.

This RA number uniquely identifies you in the PRODA system. Keep it safe.

  • Now it’s time to prove who you are.

You’ll need to submit two of the following documents:

    • Australian Passport

    • Australian Driver’s Licence

    • Medicare Card

    • Citizenship Certificate

    • ImmiCard

    • Australian Visa

    Important:

    • The name and DOB on your documents must match your PRODA account details exactly.

    • You can’t use the same document twice across different categories.

Once submitted, PRODA will process and confirm your identity instantly in most cases. If there’s an error, you’ll be prompted to try a different document.

When complete, your PRODA account will be active.

How to Login to PRODA (Once Registered)

Once you’ve created and verified your PRODA account, logging in is simple.

  • Head to https://proda.servicesaustralia.gov.au
    Click the Login button.

  • On the PRODA login page, enter the username and password you created during registration.

    • Your username is not your email — it’s the unique name you chose (e.g. john.smith01).

    • Your password must meet PRODA’s security requirements, including uppercase and lowercase letters, numbers, and symbols.

When creating your PRODA account, you’ll choose a unique username and a secure password.

    • Your username will be used every time you log in. It’s usually in the format firstname.lastname (e.g., jane.smith01) and is not your email address.

    • Your password must meet strict security requirements:

      • At least 12 characters

      • Includes uppercase and lowercase letters

      • Includes at least one number

      • Includes at least one special character (e.g., !, @, #)

Choose a password you’ll remember, but avoid using names, dates, or common words. You’ll also be asked to set three security questions — keep those answers private and memorable.

💡 Tip: Save your username and password securely (e.g. in a password manager) and don’t share them with anyone. Each user must have their own PRODA login.

  • PRODA uses multi-factor authentication (MFA).

After entering your password, you’ll receive a one-time verification code sent to your registered:

    • Email, or

    • Mobile (SMS) — if you selected this method

Enter the code to complete your login.

💡 Want faster logins? Change your security code method to SMS inside your PRODA account settings.

  • Once logged in, click on “My Linked Services”.

This is where you can access:

    • The NDIS myplace provider portal

    • HPOS

    • Aged Care Online Services

    • Any other desired linked platforms

Common Login Issues and How to Fix Them

    • Click “Forgot password” on the login page.

    • You’ll need to answer your security questions to reset it.

    • Check your spam folder.

    • Try switching from email to SMS as your preferred method.

    • Clear your browser cache and cookies.

    • Switch browsers or use incognito/private mode.

    • Too many failed attempts can lock your account for 30 minutes.

    • Wait and try again, or contact PRODA support:

Next Steps: Linking PRODA to Services

After registering and logging in, your next step is to link your PRODA account to the services you need:

  • For NDIS Providers:
Use PRODA to access the myplace portal and manage registrations, claims, and participant records.

  • For Health Professionals:
Link PRODA to HPOS to manage Medicare billing, patient records, and delegations.

  • For Aged Care Providers:
Link PRODA to the Aged Care Provider Portal for subsidy claiming and reporting.
